Notice of personal data processing.                                                  

We believe that it is important to be transparent with those we do business with about how we process your data. Consequently, we have prepared this ‘notice of personal data processing’ that tells you what we are doing with your data and why.

1    Your Rights Under the Regulation

The General Data Protection Regulation (GDPR) specifies a number of rights that you have with respect to our processing of your personal data.

Unless otherwise specified below, you can exercise any of your rights with respect to our processing of your personal data by writing to us at enquiries@kingsfordconsultancyservices.co.uk or to the Data Controller, 7 Smithywell Close, Trowbridge, BA14 7DP. Please we aware that we may need to verify your identity before we can service your request.

You are entitled to see the personal information that we hold about you. You can access this by submitting a data subject access request to us. There is generally no charge for making a data subject access request should you choose to write to us at the address given above.

You are entitled to correct personal information we hold about you that is inaccurate. Ask us to correct your data by writing to us at enquiries@kingsfordconsultancyservices.co.uk

In certain circumstances you are entitled to ask us to delete the personal information we hold about you. Please note that we may not be able to delete all personal data that we hold about you if there is a regulatory or legal duty for us to continue to hold it.

In certain circumstances you are entitled to object to our processing your personal information.

In certain circumstances you are entitled to ask us to restrict our processing of your personal information. For example, you may ask us to do this if you dispute the accuracy of your personal information, if our processing is unlawful but you prefer restriction to deletion, if we no longer need the information but you need it to exist in our systems for legal reasons, or if you have objected to our processing and we are dealing with your objection.

In certain circumstances you are entitled to receive the personal information you have provided us in a structured, commonly-used and machine-readable format. Over time we will be changing our systems to make it easier for you to receive your data in this way.

2      How we process your personal information

2.1   Consultancy contracts

Upon entering into a Consultancy contract with an external client, we will request personal contact information in order to allow the contract to be manage. This will include some or all of the following: principal contact names, mobile and landline telephone numbers, job titles, locations, email addresses, skype addresses and any other contact details as necessary. Our Client file will also include a description of the work or services to be provided and the terms of their provision.

Notes of telephone conversations, emails and physical correspondence between the client and ourselves will be attached to the Client’s file for future reference.

2.2   Invoices

We use personal contact information to allow us to direct invoices to the appropriate recipient. The number of days since the invoice’s creation is tracked and email reminders are sent to any Client who is in arrears.

2.3   Ad hoc approaches

Requests for information are occasionally received from members of the public or from organisations with whom we have no current business relationship. These approaches will typically be made by phone, via the company website or via email. In all such cases the personal information obtained shall be restricted to the minimum necessary in order to permit a meaningful response.  

2.4   Third Party requests for data

We will only disclose your personal information to a third party if we are under a legal obligation to do so.

2.5   Marketing

We do not carry out speculative marketing.

2.6   Emails

Our email system allows us to readily identify and delete any personal information which is no longer necessary for the management of our business.

 3      Retention of records

At present, all of our records are kept for a minimum period of 6 years.   Information is secured on site and also off site.
